What data do we collect?

Frega collects the following data:

  • First Name
  • Last Name
  • Phone (optional)
  • Email necessary for account creation and to send chat notifications, etc. (Can be switched off)
  • Profile Picture for avatar (optional)
  • Language preference
  • Internet protocol (IP) addresses
  • Browser type
  • Approximate location (e.g. nearest city or town)
  • Service Logs: information on system events and states
  • Zoom Account User Data (approved by user to activate users FregaRooms)
  • Referrer URL
How do we collect your data?

You directly provide Frega with most of the data we collect. We collect data and process data when you:

  • Register online or place an order for any of our products or services
  • Use or view our website via your browser’s cookies
  • Anytime users send chats, emails, create new URLs and Hubs (So we can backup and keep your data history safe)
How will we use your data?

Frega collects your data so that we can:

  • Process your orders and transactions and manage your account
  • Analyse how our website is used so we can improve your experience
  • Complete orders and remember your settings
  • Display your user avatar to meeting participants
  • Provide you with FregaRooms event information
  • Monitor performance of our data centres and networks
  • Detect, investigate and stop fraudulent, harmful, unauthorised or illegal activity (“fraud and abuse detection”)

We only share personal data with companies, organisations or individuals outside of Frega when one of the following circumstances applies:

With Consent

We may share personal data with companies, organisations, individuals outside of FregaRooms and others when we have consent from an individual (as applicable)

With Frega Partners

If Frega received your personal data from a third-party partner and you become a Customer. Frega may disclose select personal data to that partner or their designee for the purpose of the partnership agreement; for example, to reward a referral partner from a co-sponsored event. FregaRooms’s partners have contractually agreed to comply with appropriate privacy and security obligations.

With Third Parties

In regards to Third Party applications (with explicit permission of the user only) and in particular Zoom, Members can go to the Zoom App Marketplace to revoke the Zoom. User Permissions in which case all Zoom related Account information/history will be deleted.

For corporate transactions

We may share personal data with actual or prospective acquirers, their representatives and other relevant participants in, or during negotiations of, any sale, merger, acquisition, restructuring, or change in control involving all or a portion of FregaRooms’s business or assets, including in connection with bankruptcy or similar proceedings.

For sub-processing

We provide personal data to sub-processors or services providers to help us provide the Services and for FregaRooms’s business purposes. Examples include public cloud storage vendors, carriers, payment processor, and service provider for managing customer support tickets. FregaRooms contractually prohibits sub processors from using the personal data for any reason other than to provide the contracted-for services and FregaRooms contractually requires sub-processors to comply with all appropriate privacy and security requirements.

For legal reasons

We share personal data with companies, organisations or individuals outside of FregaRooms if we believe that access, use, preservation or disclosure of the information is reasonably necessary to:

  • Meet any applicable law or respond to valid legal process, including from law enforcement or other government agencies
  • Enforce applicable Terms of Service, including investigation of potential violations
  • Detect, prevent, or otherwise address fraud, security or technical issues
  • Protect against harm to the rights, property or safety of FregaRooms, our users or the public as required or permitted by law, including to help prevent the loss of life or serious injury of anyone
Retention

We will retain personal data for as long as required to do what we say we will in this Statement, unless a longer retention period is required by applicable law. The criteria used to determine our retention periods include:

  • The length of time we have an ongoing relationship with you and provide our services to you (for example, for as long as you have an account with us or keep using our services);
  • Whether we have a legal obligation to keep the data (for example, certain laws require us to keep records of your transactions for a certain period of time before we can delete them); or
  • Whether retention is advisable in light of our legal position (such as in regard to applicable statutes of limitations, litigation or regulatory investigations).
How do we store your data?

Frega securely stores your data on Microsoft Azure Servers which are backed up continuously. Their Security Centre's threat protection enables you to detect and prevent threats at the Infrastructure as a Service (IaaS) layer, non-Azure servers as well as for Platforms as a Service (PaaS) in Azure.

Security Centre's threat protection includes fusion kill-chain analysis, which automatically correlates alerts in your environment based on cyber kill-chain analysis.

What are your data protection rights?
  • The right to access – You have the right to request for copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification – You have the right to request that Frega correct any information you believe is inaccurate. You also have the right to request Frega to complete the information you believe is incomplete.
  • The right to erasure – You have the right to request that Frega erase your personal data, under certain conditions.
  • The right to restrict processing – You have the right to request that Frega restrict the processing of your personal data, under certain conditions.
  • The right to object to processing – You have the right to object to Frega’s processing of your personal data, under certain conditions.
  • The right to data portability – You have the right to request that Frega restrict the processing of your personal data, under certain conditions.
